Buying cocoa powder
in bulk
A practical brief for food manufacturers and ingredient distributors comparing cocoa suppliers.
Define the application before the grade
Start with the finished product: biscuits, cake, a beverage mix, a chocolate filling or frozen dairy. Include the processing conditions and any reference cocoa you currently use. A cocoa that performs well in one recipe is not automatically interchangeable in another.
Separate fat profile from processing
Fat content and natural or alkalized processing are separate selection criteria. Ask for an agreed fat range, pH, colour measurement method, moisture limit and fineness. Product-family names and photographs cannot replace a technical specification.
For an alkalized cocoa inquiry, describe the intended colour and flavour in your finished recipe and request a relevant sample for evaluation. Compare candidates under the same recipe and process conditions.
Request evidence for the proposed grade
- A technical data sheet identifying the proposed grade and specification.
- A certificate of analysis tied to the relevant batch, rather than an unrelated sample document.
- Applicable microbiological, contaminant, allergen and food-safety information requested by your technical team and destination requirements.
- Where a certification is required, its holder, production site, scope and validity. Availability must be confirmed before agreement.
Make the shipment brief specific
State the order quantity, bag size, liner and pallet requirements, preferred delivery window and exact delivery location. Confirm sample costs, packing, loading point, freight responsibility, insurance and the named place under the agreed Incoterms rule. Inland shipments should not simply reuse a sea-shipment trade term.
The production country, cocoa bean origin, export country and trading company's location are not interchangeable. Confirm origin and shipment documents for the actual transaction. No tariff preference or universal import clearance is implied by a production location.
Move from sample to an agreed order
- Send your application, destination, target specification and expected volume.
- Review the proposed grade, documents and sample arrangements.
- Record your trial results and agree on acceptance criteria.
- Confirm the contracting company, beneficiary, written quotation, delivery terms and payment conditions before ordering.
